What a virtual CFO actually does

A bookkeeper records what happened. An accountant reports it and handles the tax. A CFO looks forward. What will cash look like in six months? Can we afford that hire? What happens to margin if we raise prices? Which part of the business is actually making money?

Most businesses between a few hundred thousand and tens of millions in turnover can't justify a full-time CFO, but they're making CFO-sized decisions every month. A virtual CFO fills that gap: part-time, senior, and plugged into your real numbers.

Because we already run the accounting for most virtual CFO clients, there's no handover and no second set of figures. The forecast uses the same Xero data as the BAS.

What's included in our virtual CFO service

We shape the engagement around what the business needs now. A typical package includes a mix of the following.

Everything is in plain English. If a report needs a glossary, it's the wrong report.

  • A rolling cash flow forecast, updated monthly or quarterly
  • An annual budget with monthly tracking against actuals
  • Management reporting that highlights the handful of numbers that matter
  • Financial modelling for pricing, hiring, expansion and capital decisions
  • Growth scenarios: what if revenue doubles, what if a key client leaves
  • Regular meetings to review performance and decide what to do next
  • Support with banks, lenders and investors when you need funding

Cash flow forecasting and budgeting

Profitable businesses run out of cash all the time. Timing of receipts, GST and PAYG obligations, super, stock, tax bills and loan repayments all land on different dates to the invoices that fund them. A cash flow forecast puts those dates on one page.

The budget is the other half. It sets the plan for the year, and the monthly comparison against actuals tells you quickly when the plan and reality have parted ways. That early warning is often the most valuable thing a virtual CFO provides.

We've written more about how we build forecasts on our cash flow forecasting page.

Financial modelling and growth scenarios

Big decisions deserve a model. Opening a second location, buying a competitor, taking on a major contract, adding a sales team. Each one changes revenue, cost, cash and risk in ways that are hard to hold in your head.

We build models that show the range of outcomes, not just the optimistic case. What happens if the new site takes twice as long to break even? What if the contract pays on ninety-day terms? Seeing the downside before committing is how founders avoid the decisions they'd regret.

For businesses heading toward a sale, modelling also feeds valuation. A business with a credible forecast and a clean three-year history is a very different proposition to a buyer than one with a story and a spreadsheet.

When a business needs a virtual CFO

The usual triggers: growth has outrun the owner's ability to keep the numbers in their head; a restructure or new entity has made the group harder to see as a whole; a sale, acquisition or funding round is on the horizon; or cash is tight despite the business being busy.

Our virtual CFO clients include construction contractors managing progress claims, franchise operators with multiple sites, allied health practices adding practitioners, transport businesses with fleet decisions, and NDIS providers balancing funding and staffing.

Kurt from NGU Real Estate Greater Springfield put it simply: "Working with Acquire Strategic Accounting has been a game-changer for our business."

How a virtual CFO engagement works

It starts with a strategy call and a look at your current numbers. We agree the scope, the reporting rhythm and the questions you most need answered. Then we build the first forecast and budget, and meet regularly to review and adjust.

Most clients meet monthly or quarterly, at Victoria Point, Jimboomba or by video. The fee is fixed and quoted up front, so you know what you're paying for senior financial thinking without a salary line. If the scope changes as the business grows, the fee changes with it, and we tell you first.

Questions we get asked

What does a virtual CFO cost compared to a full-time CFO?

A full-time CFO is a senior salary plus on-costs. A virtual CFO is a fixed monthly fee for a defined scope, usually a small fraction of that. The right comparison is with the cost of a bad decision made without good numbers, which is generally what prompts businesses to engage one in the first place.

What's the difference between a virtual CFO and an accountant?

Your accountant handles compliance and reporting: tax, BAS, financial statements. A virtual CFO uses that information to look forward: forecasts, budgets, models and strategic decisions. At Acquire Strategic Accounting the same team does both, so the forward view is built on numbers we already know are right.

How big does my business need to be for a virtual CFO?

There's no hard threshold. The question is whether you're making decisions that would benefit from forward-looking financial analysis. Businesses from around the low millions in turnover usually find it pays for itself quickly, but a smaller business in a growth or pre-sale phase can get just as much value.

Can a virtual CFO help me get finance?

Yes. Lenders and investors want a credible forecast, a clear picture of current performance and someone who can answer their questions. We prepare the financial information, build the model behind it and can join the conversations with your bank or broker so the numbers are explained properly and confidently.

How often will we meet?

Monthly is typical for businesses in a growth or change phase; quarterly suits more stable businesses. The rhythm usually follows BAS, so the forecast is refreshed with current figures each time. Between meetings you can call with questions. That's the whole point of having a CFO on hand.
