Accountants for Transport and Logistics Operators

Trucks, vans, buses and luxury vehicles share one accounting truth: the asset is expensive, it depreciates fast, and the margin lives in utilisation. We work with freight operators, couriers, chauffeur and transfer businesses and owner-drivers across Brisbane, Logan and the Scenic Rim on structure, cash flow, compliance and growth.

Setting up a transport business properly

Inga from Niche Luxury Transfers said: "Lauren has been absolutely fantastic in guiding us through the set-up of our Pty Ltd business." Set-up is where a lot of transport businesses go wrong. The vehicle is bought in the wrong name, the finance is personal, the GST registration is late, and the first BAS is a mess.

We walk new operators through the decisions in order: structure, registrations, how the vehicles should be owned and financed, what the bookkeeping needs to capture from day one, and how to pay yourself. For chauffeur and transfer businesses there are also licensing and accreditation requirements with their own costs and paperwork, and the accounts should be set up to track them.

Getting this right at the start is cheaper than fixing it after the fleet has grown to five vehicles and the ATO has asked a question.

02

Fleet, finance and fuel

Vehicles are the biggest line on the balance sheet and the biggest source of tax questions. Whether to buy or lease, chattel mortgage versus hire purchase, how depreciation works under the ATO's current rules, and what happens to the tax position when a vehicle is sold or written off all need planning rather than guesswork.

Fuel tax credits are a real benefit for eligible operators and a common source of errors. The rates and eligibility depend on the fuel, the vehicle and how it is used, and the ATO expects records to support the claim. We set up the bookkeeping so the claim is calculated correctly on each BAS and can be defended if reviewed.

Tolls, registration, insurance, maintenance and tyres add up to a cost per kilometre that every operator should know. We build reporting that shows cost and revenue per vehicle so decisions about replacing, adding or retiring a unit are made with real numbers.

Drivers, contractors and payroll compliance

Transport runs on drivers, and how they are engaged is under constant scrutiny. Owner-drivers, subcontractors and employees each have different tax, superannuation and workers compensation consequences, and the ATO and Fair Work look at the reality of the arrangement rather than the label. Road transport awards add overtime, allowances and loading rules that payroll must handle correctly.

We assess driver arrangements, set up payroll with Single Touch Payroll reporting, and make sure superannuation is paid where it is due, including to contractors paid mainly for their labour. For businesses paying subcontractor drivers, the taxable payments annual report may also apply.

Chain of responsibility obligations under heavy vehicle law sit outside accounting, but they affect the cost base and the insurance picture, and we make sure the business is budgeting for compliance rather than being surprised by it.

04

Cash flow for operators

Transport businesses are often paid on thirty to sixty day terms by customers while paying fuel, tolls, wages and finance weekly. Growth makes this worse: every new contract means more fuel and wages up front before the first invoice is paid.

We build rolling cash flow forecasts that reflect customer payment patterns, finance schedules and seasonal peaks, and we help operators decide whether debtor finance, a bigger overdraft or simply tighter credit terms is the right fix. Our virtual CFO service adds monthly reporting and a sounding board for decisions about contracts, vehicles and hiring.

For luxury transfer and chauffeur businesses, the seasonality is events, corporate travel and weddings, and the forecast is built around that calendar rather than a flat year.

05

Structure, protection and exit

A transport business carries real liability. Accidents, damaged freight and contract disputes can threaten personal assets if the structure is wrong. Most operators should trade through a company, and many benefit from holding vehicles in a separate entity from the operating business so that one claim cannot take everything.

We review structures and recommend what fits, and we help operators think about the end game: selling the contracts and fleet to a larger operator, bringing a manager into ownership or winding down in an orderly way. Transport businesses with clean records, documented contracts and a fleet in good condition sell for more. Greg Blackaby's experience in business acquisitions applies directly.

Questions transport owners ask

Can I claim fuel tax credits for my transport business?

Many transport operators can, depending on the fuel, the vehicle and how it is used on public roads. Eligibility and rates change, so the claim must follow the ATO's current rules and be supported by records. We calculate the credit on each BAS from the bookkeeping data and keep the records needed if the ATO reviews it.

Are my drivers employees or contractors?

It depends on the actual arrangement, not the invoice. A driver who works set hours in your vehicle under your direction is likely an employee for tax, superannuation and Fair Work purposes even with an ABN. Owner-drivers with their own vehicle and multiple customers are more likely contractors. We assess each case and set up payroll accordingly.

Which offices serve transport businesses in Logan and south Brisbane?

Our Jimboomba office, VKS Accounting, works with a lot of freight, earthmoving and transport operators across Logan, Flagstone, Yarrabilba and the Scenic Rim, where many depots and yards are located. The Victoria Point office covers the Redlands and Brisbane. Bookkeeping and reporting are done online, so meetings can be in person or by video.

Should I buy or lease my trucks or vehicles?

It depends on cash flow, tax position, how long you keep vehicles and what the finance costs. Chattel mortgage, hire purchase and operating leases each have different GST, depreciation and balance sheet effects under the ATO's rules. We model the options for your situation before you sign, rather than reviewing the contract afterwards.

Do you work with chauffeur and luxury transfer businesses?

Yes. Niche Luxury Transfers is a client, and Inga described our help with the set-up of their Pty Ltd as fantastic. These businesses have their own issues: vehicle presentation and replacement cycles, licensing and accreditation costs, event-driven seasonality and a mix of corporate account and direct customers. We handle set-up, bookkeeping, tax and growth planning.
